POSITION OVERVIEW
The Bid Coordinator is a key role within our commercial construction company, responsible for coordinating and supporting the preparation and submission of tenders and bids. The Bid Coordinator plays a vital role in ensuring the effective and timely delivery of high-quality tender documents, while maintaining strong customer relationships throughout the tender process.

RESPONSIBILITIES
  • Expression of Interest and Pre-Qualification: Prepare and complete Expression of Interest (EOI) submissions and pre-qualification questionnaires.
  • Subcontractor Engagement: Prepare and distribute Request for Tender (RFT) packages to subcontractors, and efficiently manage tender files and the database (e.g., Estimate One).
  • Internal Communication: Prepare and distribute RFT packages to internal departments, ensuring that all key internal stakeholders are well-informed about specific tender requirements, deliverables, and deadlines.
  • Stakeholder Coordination: Continuously coordinate with internal stakeholders to ensure that deliverable deadlines are met promptly and efficiently.
  • Client/PM Firm Communication: Maintain open and effective communication with the client/Project Management firm throughout the tender period to address any queries or concerns.
  • RFI Management: Prepare and maintain a schedule of Request for Information (RFI) and responses, distributing them to internal teams and subcontractors as required.
  • RFI Responses: Respond promptly and accurately to RFI inquiries from both subcontractors and clients.
  • Post-Tender Clarifications: Address and respond to any client post-tender clarifications to ensure transparency and compliance.
  • Tender Addendum: Receive and disseminate Tender Addendum documentation to relevant stakeholders and subcontractors to keep all parties informed.
  • Document Management: Manage platforms such as Aconex and Estimate One to ensure efficient document control and access.
  • Tender Submission: Prepare tender submission documentation and meticulously review it to ensure a high level of accuracy and strict conformance to the RFT.
  • Subcontractor Pricing: Monitor and ensure that all subcontractor pricing is received by the specified due date.
  • Estimating Support: Collaborate with the Estimating department, providing them with all necessary documentation and support to finalize pricing accurately and promptly.

 

REQUIREMENTS
  • Proficient in clear and effective communication, encompassing both verbal and written forms.
  • Exhibits high motivation, coupled with exceptional organizational and time management capabilities.
  • Possesses excellent attention to detail, emphasizing the utmost importance of accuracy.
  • Proven experience in bid coordination or a similar role within the construction industry.
  • Capable of efficiently managing multiple projects concurrently.
  • Upholds strict confidentiality and discretion in all dealings.
  • Proficient in Microsoft Office and Aconex (preferred).
  • Experienced with Adobe Creative Suite (preferred).
  • Bachelor’s degree in construction, architecture, or related field (preferred).
