Building & Facilities Manager (FLEX)

POSITION OVERVIEW
We’re looking for an experienced Building & Facilities Manager to lead the day-to-day operational and technical performance of Bourke and Bowden which is our newly built Sydney site. Reporting to the General Manager, Flex, you’ll be the person tenants, contractors and owners look to for a building that runs smoothly, safely and to a premium standard. You’ll take end to end ownership of the building’s systems, services, safety, compliance, financial performance and sustainability credentials. You’ll be the primary interface with our Managing Agent on outgoings management, budgeting and building management reporting, and you’ll work hand-in-hand with our Workspace Manager (who leads the FLEX coworking and activation side) so tenants and members experience a single, seamless site.

KEY RESPONSIBILITIES
  • Deliver the Monthly Building Management Report and the Annual Report.
  • Partner with the Managing Agent on outgoings management, annual budget preparation, service contract renewals and tenant recoveries.
  • Own the Annual Expense Budget and CAPEX
  • Budget for the building e.g. tracking income, expenditure and variances against the Approved Budget.
  • Lead the preventative maintenance programme across mechanical, electrical, hydraulic, fire, lifts, security and façade.
  • Be the first line of response for reactive maintenance and building emergencies (including after-hours).
  • Manage vendor procurement, contract management and performance monitoring of cleaning, security, mechanical, fire, landscape and more.
  • Keep the building on the right side of compliance — Annual Fire Safety Statement (AFSS), WHS Act 2011 (NSW), Emergency Management. Plan (AS 3745) and all applicable codes of practice.
  • Protect the building’s sustainability credentials, 5.5 Star NABERS Energy and 6 Star Green Star (Design & Build).
  • Monitor the BMS to keep HVAC efficient and tenants comfortable
  • Own access control, CCTV and after-hours security.
  • Prepare scopes of work, run tenders and supervise contractors on capital works and tenant fit-outs.
  • Maintain the tenancy schedule, critical dates register, tenant securities and insurance compliance.
  • Support tenant onboarding, inductions and access provisioning.
  • Maintain the risk register and business continuity arrangements, critical spares, after-hours callouts and standby cover.

 

TO BE SUCCESSFUL IN THE ROLE
  • 3+ years’ experience in facilities management, property management or building management.
  • Experience operating under a Building Management Agreement (or equivalent contractual framework).
  • Confident coordinating with a Managing Agent on outgoings, budgets and reporting.
  • Familiar with BMS platforms (Alerton or similar) and security platforms (HID, Integriti or similar).
  • Comfortable maintaining NABERS Energy and Green Star ratings
  • A natural stakeholder manager — tenants, contractors, consultants and JV partners all get your best.
  • Calm under pressure, organised and solutions-focused, with high attention to detail.
