POSITION OVERVIEW:
Hickory is looking for a proactive and organised Office Manager to join our Data Centre site office. This is a hands-on, central role where you’ll ensure the office runs smoothly, support our team, and keep our site operations efficient. As Office Manager, you’ll take responsibility for the day-to-day running of the office and support our teams across operations, administration, and facilities management.

RESPONSIBILITIES:
  • Keep the office organised, professional, and well-functioning; manage workspace setups, layouts, and housekeeping.
  • Schedule and prepare meetings, conferences, and internal events.
  • Maintain office supplies, uniforms, kitchen items, and shared equipment.
  • Manage inventory systems and coordinate procurement of furniture and essentials.
  • Oversee incoming and outgoing mail, ensuring timely and accurate distribution and dispatch.
  • Track office expenses, process invoices, and maintain accurate records
  • Assist the commercial team with dockets and project-related administration.
  • Act as a professional liaison between employees and clients, ensuring a welcoming and courteous office environment.
  • Coordinate building maintenance, service contractors, and vendor relationships to ensure the office is safe, functional, and fit for purpose.
  • Maintain and improve office procedures, ensure policy compliance, and respond efficiently to operational issues.

 

TO BE SUCCESSFUL IN THE ROLE:
  • Bachelor’s degree in Business Administration, Management, or a related field (or equivalent professional experience).
  • Proven experience managing a large office and providing support.
  • Demonstrated ability to oversee day-to-day office operations, coordinate administrative tasks, and manage relationships with clients, visitors, and internal stakeholders.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Familiarity with office management and accounting software, along with the ability to handle financial records and reports.
  • Strong verbal and written communication skills with the ability to liaise effectively with internal teams, clients, and external partners.
  • Excellent organisational skills with the ability to manage multiple priorities efficiently.
  • Experience planning, coordinating, and executing events, as well as managing budgets, suppliers, and vendors.
  • Proactive, solution-focused, and able to work independently while maintaining a professional, collaborative approach.
